What a small team actually uses.
FollowDeck keeps the follow-up workflow in one workspace. It is not an ERP, not a full marketing suite, and not a giant enterprise CRM.
Leads and clients
Each business or lead has contact details, status, tags, notes, and a history. A Primary Rep owns the relationship. Staff work from My Leads & Clients. The company list is there when someone needs to help on purpose. Unassigned records stay visible so they are not forgotten.
Follow-ups
Schedule a call, an email, or an in-person visit. Give it a due date, a priority, and a person. Due and overdue work stays in view. Completing a follow-up records who finished it. A follow-up can also be snoozed when today is not the right day.
My Desk and the daily load
Staff land on My Desk: assigned businesses and leads, follow-ups, recent activity, and what the day actually contains. Owners and admins can open Office Overview first, and can still switch to their own desk.
Calendar
My Calendar is the staff default. Office Calendar is there for owners and admins. Month, week, and day views show scheduled follow-ups and customer appointments beside internal events. When the plan changes, the item can be moved.
Email and Incoming Mail
Email goes out from the business or lead, so the message stays on that customer. Incoming Mail can match a message to a record, leave it unmatched, link it to an existing business, or start a new lead. Replies from a linked message stay on the history. Each person works from the mailbox assigned to them.
Calling
Call from the client record. The call is part of the same history as email, notes, and follow-ups, and FollowDeck records who placed it.
Activity timeline
One chronological line for the customer: email, calls, notes, meetings, and completed follow-ups. It shows what happened, who did it, and what should happen next.
Playbooks
A Playbook is a repeatable process: sales follow-up, customer onboarding, estimate follow-up, past-customer re-engagement, technical support, or outreach. Owners and admins can write and archive them. Staff can read the one linked to a customer, including a primary Playbook for that record.
Custom tracking
Add the extra details your work needs — short text, longer notes, numbers, a choice, or files and photos — without rebuilding the workflow. Some teams also keep a structured technology assessment on the customer. That is an example of the same idea, not a separate product.
Roles
Owner
Full organization control, and the broad view of the office.
Admin
Management-level access and day-to-day administration.
Staff
A daily operating desk: their own leads, follow-ups, calendar, and communication.
ReadOnly
Can look at the workspace without editing it.
Your organization’s own workspace
Each organization works in its own FollowDeck workspace, with its own team, customers, communication, Playbooks, and settings. People see what their role allows.
Help, inside the workspace
A help center gives staff a place to look things up without leaving FollowDeck, including a way to ask how something works.
Installable app
Use FollowDeck in the browser or install it like an app where supported. When an update is ready, FollowDeck lets the person choose when to refresh. This is not a separate native iOS or Android app.
